Terms of Service

1. About FlexiDesk
FlexiDesk ("the Service") is a Slack application that allows teams to book and manage shared workspaces — including desks, meeting rooms, car parks, and lockers — directly from Slack. The Service is operated by FlexiDesk ("we", "us", "our"). See also our Privacy Policy.
2. Acceptance of Terms
By installing FlexiDesk to your Slack workspace, you agree to these terms on behalf of your organisation. If you do not agree, do not install or use the Service. The person who installs FlexiDesk becomes the initial workspace administrator and is responsible for managing access and user conduct within their organisation.
Your organisation is responsible for the actions of all users within your workspace, including the data they submit (such as guest names and booking details) and their compliance with these terms.
3. Eligibility
FlexiDesk is intended for use by businesses and organisations. You must have the authority to bind your organisation to these terms. The Service is not intended for personal or consumer use, and is not directed at individuals under 16.
4. Free Trial
New workspaces receive a free trial with full access to all features. The trial period is displayed during onboarding. No payment details are required to start the trial. After the trial expires, a paid subscription is required to continue creating bookings.
5. Billing and Payment
FlexiDesk is billed monthly based on total capacity across all active spaces in your workspace (e.g. if you have 20 desks and a 10-person meeting room, you are billed for 30 seats). Payments are processed securely by Stripe. We do not store or have access to your credit card details.
Workspace admins can view billing details, upgrade, or manage their subscription at any time through the Billing section within FlexiDesk. When you add or remove spaces, subscription quantities are updated and prorated automatically by Stripe for the remainder of the current billing period.
All fees are non-refundable except where required by applicable law (including Australian Consumer Law). If you cancel your subscription, you retain access until the end of your current billing period.
6. Your Data
You retain full ownership of all data you enter into FlexiDesk. We store your data solely to provide and operate the Service. We do not sell, share, or use your data for any purpose other than delivering FlexiDesk's functionality.

7. Acceptable Use
You agree to use FlexiDesk in accordance with these terms and all applicable laws. You may not:
- Attempt to access data belonging to other workspaces.
- Reverse-engineer, decompile, or interfere with the operation of the Service.
- Use the Service for any unlawful, fraudulent, or abusive purpose.
- Circumvent rate limits, authentication, or other security measures.
- Use automated scripts or bots to interact with FlexiDesk outside of normal Slack usage.
- Perform any other activities within or using this service that may be deemed illegitimate or malicious or harmful activity.
We reserve the right to suspend or terminate access to any workspace that violates these terms or appears to violate these terms at any time and without any prior warning.
8. Service Availability
We aim to keep FlexiDesk available at all times, but we do not guarantee uninterrupted or error-free service. FlexiDesk depends on third-party infrastructure including Slack and Google Cloud Platform, which may experience outages outside our control.
No service level agreement (SLA) or guaranteed support response times are provided. We will make reasonable efforts to respond to support requests and notify users of planned maintenance in advance where possible.
9. Suspension and Termination
We may suspend or terminate your access to the Service at our discretion if:
- You breach these terms or engage in conduct that is harmful to the Service, other users, or our infrastructure.
- Your workspace is used for unlawful purposes.
- It is required by law or by a third-party platform (e.g. Slack).
We will make reasonable efforts to notify you before or at the time of suspension, except where immediate action is required to protect the Service or comply with legal obligations.
10. Cancellation and Data Deletion
You can cancel your subscription at any time through the Stripe billing portal, accessible from within FlexiDesk. Cancellation takes effect at the end of the current billing period. You retain access to all features until that date.
If you uninstall FlexiDesk from your Slack workspace, access to the Service stops immediately. All workspace data is retained for 30 days to allow for reinstallation. After this grace period, all data — including bookings, spaces, admin records, preferences, and audit logs — is permanently and automatically deleted. Your Stripe subscription is also cancelled as part of this process. No data is retained after the 30-day window.
11. Intellectual Property
FlexiDesk, including its code, design, and branding, is owned by us and protected by applicable intellectual property laws. These terms do not grant you any rights to our trademarks, logos, or other brand features.
You retain ownership of any content you create within FlexiDesk (space names, booking data, etc.).
12. Limitation of Liability
To the maximum extent permitted by law, FlexiDesk is provided "as is" and "as available" without warranties of any kind, whether express or implied, including implied warranties of merchantability or fitness for a particular purpose.
We are not liable for any indirect, incidental, special, consequential, or punitive damages arising from or related to your use of the Service, including but not limited to lost bookings, scheduling conflicts, or business disruption.
Our total liability for any claim arising from these terms or the Service shall not exceed the amount you paid to FlexiDesk in the 3 months preceding the claim.
Nothing in these terms excludes or limits liability that cannot be excluded or limited under applicable law, including Australian Consumer Law.
13. Indemnification
You agree to indemnify and hold FlexiDesk harmless from any claims, losses, or damages (including legal fees) arising from your use of the Service, violation of these terms, or infringement of any third party's rights.
14. Third-Party Services
FlexiDesk integrates with Slack, Google Cloud Platform, and Stripe. Your use of these services is subject to their respective terms and policies. We are not responsible for the availability, security, or practices of third-party services.
15. Changes to These Terms
We may update these terms from time to time. If we make material changes, we will notify workspace admins via the FlexiDesk home tab in Slack. Continued use of FlexiDesk after changes are posted constitutes acceptance of the updated terms.
16. Governing Law
These terms are governed by and construed in accordance with the laws of the State of Victoria, Australia. Any disputes arising from these terms shall be subject to the exclusive jurisdiction of the courts of Victoria, Australia.
